This Privacy Policy explains how DrainReport ("DrainReport", "we", "us") collects, uses, stores and protects information when you use our website and CCTV drain survey reporting platform (the "Service").
1. Who we are
DrainReport provides AI-assisted CCTV drain survey report generation for drain survey companies and contractors in the UK. For the purposes of UK GDPR and the Data Protection Act 2018, DrainReport acts as the data controller for account and billing information, and as a data processor on behalf of your organisation for client and site data contained within survey jobs and reports.
2. Information we collect
- Account information: name, email address, password, MSCC certification details, and organisation details you provide on sign-up.
- Job and survey data: client names, site addresses, node references, and any notes you enter when creating a job.
- Survey footage and outputs: uploaded CCTV video files, AI-generated observations, screenshots extracted from footage, and generated PDF reports.
- Usage data: log data, device and browser information, and analytics collected via cookies (see Section 6).
3. How we use your information
- To provide the Service, including AI analysis of uploaded footage and report generation.
- To operate your account, organisation, and billing.
- To improve our AI models, using observations you approve, amend or decline as training data (in anonymised or aggregated form where practical).
- To communicate with you about your account, jobs, and product updates.
- To meet legal and regulatory obligations.
4. Where your data is stored
Survey footage, reports, and account data are stored using cloud infrastructure located in the UK and EU (London and Belgium data centres). We do not transfer survey footage or report data outside the UK/EU other than as described in this policy.
5. Data retention
Survey footage is retained in active ("hot") storage for the duration of your review period and for a limited time afterwards, then archived or deleted in line with our data retention schedule. Generated reports and job records are retained for as long as your account is active, or as required for legal and accounting purposes.
6. Cookies and analytics
We use a small number of essential cookies to operate the website, and analytics cookies (such as Google Analytics) to understand how visitors use our site. You can control cookies through your browser settings.
7. Sharing your information
We do not sell your data. We share data with sub-processors who help us run the Service (for example, cloud hosting, AI model providers, and email delivery), under contracts that require them to protect your data. We may disclose information where required by law.
8. Your rights

We may update this policy from time to time. We will update the "Last updated" date above and, where changes are significant, notify account holders by email.
